Stay compliant with Inspection Analysis Synkwise

Adult Family Home Compliance with Inspection Analysis

Note: Inspection analysis is available for WA State Only Customers (for now).

Healthcare is an at-risk industry that is highly regulated in just about everything: HIPPA security standards, minimum licensing requirements, narcotic dispense regulations, charting accuracy and so much more. Maintaining compliance is everything when it comes to protecting your facility and the resident patients under your watch. Care Providers are responsible for meeting the requirements of the current Washington Administrative Codes (WAC’s) & Revised Codes of Washington (RCW’s). If your facility does not correspond to industry norms and laws, you’re exposing yourself to citations and elevated liability.

Stay compliant with Inspection Analysis

Let’s take a look at how the Synkwise Inspection Analysis works and helps improve compliance. Our solution audit’s all documents (Provider, Resident, and Employee records).

The Diagnostics module is divided into three main sections:

Facility Records

It audits all facility records, such as mock inspections, evacuation drills to be completed every two months, business license validation, and documents related to Facility Policies and Procedures.

Resident Care
Resident Records

This section checks all resident records: assessments, care plans, Physician orders, missed medications, PRN’s medication follow-up documents, and other legal documents.

Employee Records

This section tracks all employee records: hire date, credential requirements for all care staff, required training, continued education documents, etc.

Here are some of the main features of the Inspection Analysis in a nutshell:

Expiration Dates

The inspection module allows you to verify the expiration dates of each critical document easily. Once running the analysis, the outdated documents are reflected in the total score and marked with a red indicator. There is a possibility to set a new expiration date for an outdated document inside the rule.

Inspection Preferences

Our Inspection Preferences allow you to easily disable or enable a rule depending on your facility’s preferences or applicability. Always pursue best practices!

Other Features

You can easily give licensor access to the Inspection or print the Current Inspection Report. Useful lifehack: in order to take off a licensor or family account from the Inspection, you can mark them as Non-Employee in Update Staff Information so that their presence in the list of employees does not affect the final score.

To conclude, Inspection Analysis is used to assess and document the current state of compliance oversight and management, as well as helps to keep track of missing or expiring documents and dates for a staff account, resident, and facility. Washington State has one of the most stringent licensing standards in the nation for Long-Term Residential Care Settings. These requirements are highly complex; they change frequently, often requiring operational and workflow changes, ongoing education, internal audits, health IT compliance updates, and more.

Additionally, DSHS licensors inspect licensed homes and providers every 10 to 18 months on average. Inspections take place without warning. Therefore, providers must comply at all times.

Compliance Analysis is crucial to creating a safe, high-performing, high-reliability environment. Our mission is to ensure that everyone in your organization understands how their actions contribute to healthcare compliance and the target inspection score. Top 5 benefits of using an eMAR

In today’s digital era, the usage of electronic medical and health records in long-term care facilities is rather limited; but it is a necessity and a key factor to success. Why?

Here are the top 5 reasons why using eMAR (electronic Medication Administration Record) can benefit your Healthcare Facility:

1. The highest standard of medication administration

Medication mistakes are one of the most prevalent errors hospitals, nursing homes, and healthcare facilities want to avoid at all costs. eMAR enhances med passing workflow by drastically minimizing the number of labor hours spent on medication distribution and paper-based record keeping as well as the possibility of drug-related mistakes such as improper dosing or incorrect route of administration.

2. Pharmacy Integrations

Direct connection with your pharmacy enhances communication flow and helps to increase the accuracy of each resident’s medication list. Pharmacy delivers medicine orders directly to the Pharmacy module within eMAR so that all resident’s MARs are precise and up-to-date. Discontinued and dispensed orders are accurately communicated; as well as expiring medications are handled in a timely manner.

3. Using Mobile Devices

Caregivers can utilize any portable device to record when the medication is administered to the patient and can add any relevant notes, such as the drug that was not given, refused, and why. This data is automatically inserted into the medication log in real-time. Less emphasis on paperwork and more time spent with the patient improves efficiency and quality.

4. Easy Reporting

Making monthly reports with paper-based MAR sheets is a huge task. To prepare a report, the care home staff must manually go through each and every piece of paper. They can quickly prepare monthly reports with eMAR.  Every medication, care task, and vital record is fully documented. More accurate medication records and other patient histories are just one click away. Staff members can create detailed reports that span days, weeks, months, or even years, in addition to monthly reports.

5. Compliance is ensured

Synkwise’s eMAR allows performing the audit of Med Log so that the physicians or nurses can instantly view the late medication passes. Furthermore, we bridge the gap across the spectrum of care since eMAR is integrated with other modules: Dashboard, Health Monitor, Inspection, etc. Every medication, care task, and vital record is fully documented. With this implementation, staff members have a wide range of resident’s information. This leads to enhanced resident safety.

To top it off, eMAR is a valuable tool that greatly reduces the time spent on documentation and the risk of mistakes or delays during the administration process. More accurate medication records and other patient histories are just one click away. Book a demo to explore how eMAR can improve productivity at your Facility.

Synkwise Security

Synkwise Security: Specify IP addresses for product access

Synkwise introduced a new security feature in version 3.18 – IP allowlisting. IP allowlisting gives you an additional level of control, allowing you to specify which IP addresses users must use to access content from Synkwise. When you set an allowlist for Synkwise it applies to all staff members of your organization.

IP allowlisting feature is enabled only for PLUS package. Please learn more about Synkwise plans.

If staff members aren’t accessing the Synkwise application from an IP addresses in the allowlist, they see a message explaining why they don’t have access. The owner of the organization can access the Synkwise by passing these rules.

You can set up infinite IP addresses or network blocks per allowlist. We support IPv4 for individual IP address. If you’re entering a network block, we support the CIDR notation standard for specifying a block of IP addresses. Refer to CIDR notation more details about how to use CIDR notation.

Some examples of values that you can add:

TypeExample
IPv4168.188.100.1
CIDR block168.188.100.0/28
168.188.100.16/29
168.188.100.24/32
2401:1d80:1010::/64
2401:1d80:1010::150/128

Where to configure your IP allowlist?

In Synkwise, select Administration > Settings, and then select Security page.

  1. From the Security page, click Add Rule button.
  2. Enter details for your allowlist. You can enter your IP address or CIDR block.
  3. Click Save to save the details.
